CLEANTheory Website & EBI Privacy Policy

CLEANTheory Inc. (“CLEANTheory,” “we,” “us,” or “our”) takes your privacy seriously. This Privacy Policy describes how we collect, use, and protect information submitted through our website at cleantheoryinc.com (the “Website”) and the Environmental Burden Index tool (the “EBI”). By using the Website or EBI, you agree to the practices described here.
1. Information We Collect
1.1 Information You Provide
We collect information you voluntarily provide through:
- The Website contact form: your name, facility or operator name, email address, and the message or inquiry you submit
- The EBI “Get Notified” subscription: your email address, facility address, ZIP code, and alert threshold preference
- EBI coverage expansion requests: when you submit a request to be notified when a ZIP code outside our current coverage area becomes available, only your requested ZIP code is stored. No email address is retained at the time of the expansion request; a notification confirmation flow will be required when that feature is implemented.
We do not collect payment information through the Website or EBI. We do not require account creation to use the EBI.
1.2 Information Collected Automatically
When you visit the Website or use the EBI, we automatically collect certain technical information, including:
- IP address and general geographic location
- Browser type and operating system
- Pages visited, time spent on pages, and navigation patterns
- Referring URL (the page you visited before arriving at our Website)
- ZIP code or facility address entered into the EBI tool (see Section 1.3)
1.3 EBI Location Data
The EBI requires a facility address to generate an environmental burden score. This location data is used solely to retrieve and display environmental data for your area. We may retain EBI lookup data in aggregate and anonymized form for the purpose of improving the tool’s accuracy and coverage. We do not associate retained EBI location data with your personal identity unless you have also subscribed to EBI notifications.
1.4 Cookies and Tracking
We do not use cookies or tracking scripts in the EBI application. The CLEANTheory marketing site (cleantheoryinc.com) may use browser cookies for basic functionality.
2. How We Use Your Information
We use information we collect to:
- Respond to contact form inquiries and communicate with you about CLEANTheory’s services
- Deliver EBI scores and environmental data relevant to your location
- Send EBI notification emails to subscribers who have opted in
- Improve the Website and EBI through aggregate usage analysis
- Comply with legal obligations and respond to lawful requests
We do not use your personal information for automated decision-making or profiling.
3. How We Protect Your Information
We take your privacy seriously and implement commercially reasonable technical and organizational measures to protect your information against unauthorized access, disclosure, alteration, and destruction. These measures include encrypted data transmission (HTTPS), access controls limiting who within CLEANTheory can access personal information, and regular review of our data handling practices.
No system is completely secure. While we work hard to protect your information, we cannot guarantee absolute security. In the event of a data breach affecting your personal information, we will notify affected individuals in accordance with applicable law.
4. Sharing of Information
CLEANTheory does not sell, rent, or trade your personal information to any third party. We do not share your personal information with third parties for their own marketing purposes.
We may share your information in the following limited circumstances:
4.1 Service Providers
We share information with third-party service providers that help us operate the Website and EBI, including website hosting providers, email delivery services, and analytics tools. These providers are authorized to use your information only as necessary to provide services to CLEANTheory, and are required by contract to maintain appropriate confidentiality and security.
4.2 Legal Requirements
We may disclose your information when required by law, regulation, court order, or other lawful government process. Where permitted by law, we will provide you advance notice of any such disclosure involving your personal information.
4.3 Business Transfers
In connection with a merger, acquisition, financing, or sale of all or a portion of CLEANTheory’s assets, your information may be transferred as part of that transaction. We will provide notice of any such transfer and the Privacy Policy applicable to your information going forward.
4.4 With Your Consent
We may share your information with your express consent, including if you agree to participate in a case study, testimonial, or other CLEANTheory communications.
5. Email Communications and Unsubscribe
If you subscribe to EBI notifications or consent to receive marketing communications from CLEANTheory, you may receive periodic emails including EBI score updates, alerts, and information about CLEANTheory’s services.
You may unsubscribe from these communications at any time by:
- Clicking the “Unsubscribe” link in any email we send you
- Sending an unsubscribe request to hello@cleantheoryinc.com
Unsubscribe requests will be processed within ten (10) business days. After unsubscribing, you may still receive transactional or administrative messages (such as a confirmation of your unsubscribe request), which are not marketing communications.
6. Data Retention
We retain personal information as follows:
- Contact form submissions: retained for up to two (2) years from the date of submission, or until you request deletion, to allow us to manage ongoing communications and follow-up
- EBI notification subscriber information: Subscriber records are retained for audit and service integrity purposes. You may request deletion of your data at any time by emailing hello@cleantheoryinc.com.
- Anonymized aggregate EBI usage data: retained indefinitely for tool improvement purposes
- Automatically collected technical data: retained for up to twelve (12) months in aggregate and anonymized form
7. Your Rights and Choices
You have the following rights with respect to your personal information:
- Access: you may request a copy of the personal information CLEANTheory holds about you
- Correction: you may request that we correct inaccurate personal information
- Deletion: you may request deletion of your personal information, subject to any legal retention requirements
- Opt-out: you may unsubscribe from marketing and notification emails at any time as described in Section 5

7.1 State Privacy Rights
Residents of California and other states with comprehensive privacy laws (including Virginia, Colorado, Connecticut, and Utah) may have additional rights under applicable state law, including the right to know, access, correct, delete, and opt out of certain uses of personal information. 8. Children’s Privacy
The Website and EBI are intended for adult business operators only. We do not knowingly collect personal information from individuals under 18 years of age. If we become aware that we have collected personal information from a person under 18, we will delete it promptly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be noted with a revised effective date posted on this page. Your continued use of the Website or EBI after the effective date of any change constitutes acceptance of the updated Privacy Policy.
